Terms and Conditions
These Terms and Conditions apply to all individuals who register to participate in an event organised by i-Compete Events ("the Event Organiser").
By completing the registration process and purchasing an entry place, you agree to be bound by these Terms and Conditions. Please read them carefully before entering an event.
In these Terms and Conditions:
"you" and "participant" mean any person registered to take part in an i-Compete Event;
"i-Compete Events", "i-Compete" and "the Event Organiser" mean i-Compete Events, the organiser responsible for delivering the Event;
"Event" means any race, competition or sporting activity organised by i-Compete Events.
These Terms and Conditions are intended to explain the responsibilities of both the participant and i-Compete Events and apply alongside any event-specific information, instructions or policies provided before participation.
1. Acceptance of these Terms and Conditions
1.1 By registering for, entering, or participating in any event organised by i-Compete Events, you confirm that you have read, understood and agree to be bound by these Terms and Conditions.
1.2 These Terms and Conditions form the entire agreement between you and i-Compete Events in relation to your participation in the Event.
1.3 By completing your registration, you acknowledge that you have had the opportunity to read these Terms and Conditions before entering and accept that they may contain provisions relating to cancellations, postponements, force majeure events, transfers and limitations on refunds.
1.4 Nothing in these Terms and Conditions excludes or limits any statutory rights that cannot lawfully be excluded under English law.
2. Eligibility and Age Requirements
2.1 Participants must meet the minimum age requirements for the Event they have entered. Unless otherwise stated in the Event information:
Participants entering a 10K event must be aged 15 years or older on the day of the Event.
Participants entering a 10-mile event or half marathon must be aged 17 years or older on the day of the Event.
Participants entering a triathlon event must be aged 17 years or older on the day of the Event.
2.2 By entering an Event, you confirm that you meet the applicable age requirements and that all information provided during registration is accurate and complete.
2.3 The Event Organiser reserves the right to refuse or cancel an entry where a participant does not meet the applicable eligibility requirements or where inaccurate information has been provided during registration.
2.4 Where an Event has specific eligibility, qualification, ability or safety requirements, these will be communicated as part of the Event information and participants are responsible for ensuring they meet those requirements before entering.
3. Event Information, Participant Responsibility and Suitability
3.1 Before entering an Event, participants are responsible for reading and understanding the Event information provided by i-Compete Events, including details relating to the course, distance, format, location, timings, facilities, entry requirements and any specific requirements or risks associated with participation.
3.2 By registering for an Event, you confirm that you understand the nature of the Event you have entered and that you have considered whether the Event is suitable for your ability, experience, fitness level and personal circumstances.
3.3 i-Compete Events will provide participants with relevant Event information and updates before the Event. Participants are responsible for ensuring that the contact details provided during registration are accurate and for reading any communications sent by i-Compete Events.
3.4 Event details, including but not limited to the course, schedule, venue arrangements and programme, may be subject to reasonable change where required for operational, safety or regulatory reasons.
4. Participant Cancellations and Entry Transfers
4.1 Participant Cancellations
If you are unable to participate in an Event, you must notify i-Compete Events by email to james@icompete.co.uk. Cancellation requests will only be considered where received in writing via this email address.
Due to the costs incurred in planning and delivering an Event, including venue arrangements, permits, race materials, timing services, medical provision, staffing, insurance and administration, the following cancellation policy applies:
50 days or more before the Event date: You may receive an account credit equal to 80% of the entry fee paid.
Between 49 and 29 days before the Event date: You may receive an account credit equal to 60% of the entry fee paid.
Within 28 days of the Event date: No refund, account credit or transfer will ordinarily be available.
Any account credit issued will be applied to your i-Compete account and may only be used towards a future i-Compete Event. Account credits are not cash refunds, are not transferable and cannot be exchanged for money.
i-Compete Events reserves the right to consider exceptional circumstances outside this policy at its discretion. Any credit, transfer or refund offered in exceptional circumstances will be considered on an individual basis and will not create any obligation or precedent for other participants.
4.2 Entry Transfers
Participants may transfer their entry to another person, subject to the following deadlines:
Running events (10K, 10 Mile and Half Marathon): Transfers must be completed no later than 14 days before the Event date.
Triathlon events: Transfers must be completed no later than 28 days before the Event date.
Transfers must be completed using the official transfer process provided by i-Compete Events. To initiate a transfer, please access your i-Compete account HERE and navigate to:
Account → Event Entries → View Entries → Transfer
You must enter the email address of the person receiving the transfer and complete the process within 48 hours of starting the transfer request.
Entries must not be transferred outside the official process. i-Compete Events reserves the right to refuse participation where an unauthorised transfer has taken place or where participant information has not been correctly updated.
5. Participant Information and Registration Details
5.1 Participants are responsible for ensuring that all information provided during registration is accurate, complete and up to date.
5.2 If any information provided during registration changes, including but not limited to name, contact details, race category or any other relevant participant information, you must notify i-Compete Events as soon as reasonably possible by emailing james@icompete.co.uk. Your email must include your full name, the Event name, Event date and details of the information requiring amendment.
5.3 Accurate participant information is essential for the safe and effective organisation of the Event, including race administration, timing, results, communications, emergency procedures and participant identification.
5.4 Where a participant competes using incorrect information or fails to notify i-Compete Events of an error before the prize presentation, i-Compete Events reserves the right to amend or remove results, including marking the participant as disqualified (DQ) where appropriate.
5.5 i-Compete Events is not responsible for errors, delays or inaccuracies caused by incorrect information supplied by a participant during registration or where a participant fails to notify i-Compete Events of changes.
6. Inaccurate or Misleading Information
6.1 i-Compete Events reserves the right to refuse, cancel or amend an entry where information provided by a participant during registration is found to be false, misleading, materially inaccurate or where the participant does not meet the eligibility requirements for the Event.
6.2 This includes, but is not limited to, circumstances where incorrect information has been provided relating to:
age or eligibility requirements;
participant identity;
race category;
medical or safety-related information where required;
unauthorised transfers of entries; or
any other information which may affect the safe and fair organisation of the Event.
6.3 Where reasonably practicable, i-Compete Events will seek to resolve minor administrative errors with the participant before taking action.
6.4 Where an entry is cancelled under this clause due to inaccurate, false or misleading information provided by the participant, no refund or credit will ordinarily be payable.
7. Event Communications and Participant Responsibilities
7.1 i-Compete Events will provide participants with relevant information and instructions before the Event, including details relating to race arrangements, registration, timings, safety requirements, course information, parking, venue access and any operational changes.
7.2 Participants are responsible for ensuring that the contact details provided during registration are accurate and that they regularly check communications sent by i-Compete Events, including emails and any other official communication channels used for the Event.
7.3 Participants must read all Event communications carefully and follow any reasonable instructions provided by i-Compete Events, including instructions relating to safety, registration, race procedures and changes to Event arrangements.
7.4 i-Compete Events is not responsible for a participant failing to receive, read or act upon Event communications where accurate contact information has been provided and communications have been sent using the details supplied during registration.
7.5 Where important operational or safety information needs to be communicated, i-Compete Events may update Event arrangements where reasonably necessary to ensure the safe and effective delivery of the Event.
8. Event Changes and Operational Decisions
8.1 Whilst i-Compete Events will make reasonable efforts to deliver each Event as advertised, participants acknowledge that certain Event arrangements may need to be changed where reasonably necessary.
8.2 Changes may include, but are not limited to:
the Event date;
Event venue;
course route;
start times;
race format;
programme arrangements;
participant numbers;
facilities or services provided.
8.3 i-Compete Events reserves the right to make reasonable changes where required for operational, safety, regulatory or logistical reasons, including where instructed or advised by relevant authorities, landowners, emergency services or venue operators.
8.4 i-Compete Events will provide participants with reasonable notice of any significant changes where circumstances allow. However, where urgent action is required, including for health and safety reasons, changes may need to be made at short notice.
8.5 Participants acknowledge that outdoor events are subject to circumstances beyond the Event Organiser's control and that reasonable changes may be required to ensure the safe and successful delivery of the Event.
9. Participant Fitness, Health and Preparation
9.1 Participants are responsible for ensuring that they are suitably fit, healthy and prepared to take part in the Event they have entered.
9.2 Before participating, you should consider your own physical condition, previous experience, level of training and any medical circumstances that may affect your ability to participate safely. Where appropriate, you should seek advice from a qualified medical professional before taking part.
9.3 By participating in an Event, you confirm that you have undertaken appropriate preparation and that you are not aware of any medical condition or circumstance that would make participation unsafe.
9.4 If, before or during an Event, i-Compete Events or its appointed officials have reasonable concerns regarding a participant's safety or ability to continue, i-Compete Events reserves the right to withdraw that participant from the Event.
9.5 Participants must follow any reasonable safety instructions provided by i-Compete Events, event officials, medical personnel or emergency services.
10. Participant Insurance
10.1 Participants are responsible for considering whether they require personal accident, travel, cancellation or personal belongings insurance in connection with their participation in an Event.
10.2 i-Compete Events recommends that participants obtain appropriate insurance where they consider it necessary, particularly where they have incurred additional costs such as travel, accommodation or other expenses associated with attending an Event.
10.3 Participants remain responsible for ensuring that any insurance they obtain provides suitable cover for their individual circumstances and requirements.
10.4 i-Compete Events does not provide personal accident, travel or personal belongings insurance for participants unless expressly stated otherwise in the Event information.
11. Personal Belongings and Property
11.1 Participants and spectators are responsible for their own personal belongings and any property they bring to an Event.
11.2 Where i-Compete Events provides storage facilities, bag areas or other arrangements for personal belongings, these are provided as a convenience only and do not constitute a guarantee of security or acceptance of responsibility for any items stored.
11.3 Participants should ensure that valuables and personal items are not left unattended. Any belongings left at the Event venue, including in designated storage areas, changing facilities or elsewhere on site, remain at the owner's own risk.
11.4 i-Compete Events accepts no responsibility for loss, theft, damage or destruction of personal belongings belonging to participants or spectators, except where such liability cannot lawfully be excluded under applicable law.
11.5 Participants are responsible for ensuring that any personal equipment used during an Event is suitable, safe and fit for purpose.
12. Liability and Responsibility
12.1 Participants acknowledge that taking part in sporting events involves inherent risks, including but not limited to physical exertion, changing weather conditions, uneven surfaces, interaction with other participants, road conditions and other circumstances associated with outdoor events.
12.2 Participants are responsible for deciding whether they are fit and suitably prepared to participate and must follow all reasonable instructions provided by i-Compete Events, event officials, medical personnel and relevant authorities.
12.3 i-Compete Events will take reasonable care in the organisation and delivery of its Events. However, to the fullest extent permitted by law, i-Compete Events shall not be responsible for any loss, damage or expense arising from:
a participant's own actions or failure to follow instructions;
a participant's failure to ensure they are suitably fit or prepared;
circumstances outside the reasonable control of i-Compete Events; or
loss or damage to personal belongings brought to an Event.
12.4 Nothing in these Terms and Conditions excludes or limits any liability which cannot lawfully be excluded or limited, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
12.5 Participants are responsible for ensuring they have appropriate insurance where they consider it necessary for their participation.
13. Event Rules, Instructions and Compliance
13.1 Participants must comply with all reasonable rules, instructions and requirements issued by i-Compete Events, event officials, venue operators, landowners, emergency services or other authorised personnel in connection with the Event.
13.2 Event rules and instructions may be communicated before or during the Event and may relate to, but are not limited to:
registration and check-in procedures;
race procedures and timings;
course requirements;
safety instructions;
use of facilities;
interaction with other participants, spectators, volunteers and event staff.
13.3 Participants must follow any instructions given for the purpose of protecting the safety, wellbeing or enjoyment of participants, spectators, volunteers and staff.
13.4 i-Compete Events reserves the right to withdraw, disqualify or refuse participation to any participant who fails to comply with Event rules or reasonable instructions, or whose actions may compromise safety, fairness or the proper operation of the Event.
13.5 Any decision made by i-Compete Events or its appointed officials regarding safety, disqualification or removal from the Event shall be final.
14. Participant Conduct and Behaviour
14.1 Participants must behave in a respectful and considerate manner towards other participants, spectators, volunteers, event officials, venue staff and i-Compete Events employees.
14.2 The following behaviours will not be tolerated:
abusive, threatening, intimidating or offensive behaviour;
harassment or discrimination of any kind;
aggressive or unsportsmanlike conduct;
behaviour that may endanger another person;
failure to follow reasonable instructions from event officials or staff;
any conduct that may negatively affect the safe and fair operation of the Event.
14.3 Where i-Compete Events reasonably believes that a participant's behaviour presents a safety risk, disrupts the Event or breaches these Terms and Conditions, i-Compete Events reserves the right to:
issue a warning;
remove the participant from the Event;
disqualify the participant;
refuse or restrict participation in future i-Compete Events.
14.4 Any decision to remove or disqualify a participant will be made with regard to the circumstances of the incident and the safety and interests of participants, spectators, volunteers and staff.
14.5 i-Compete Events reserves the right to refuse future entries where there has been a serious breach of these Terms and Conditions or where the relationship between i-Compete Events and the participant has broken down such that a future contractual relationship is no longer considered appropriate.
15. Third Party Services and Providers
15.1 i-Compete Events may work with third party organisations, contractors, suppliers and service providers in connection with the delivery of an Event, including but not limited to venues, timing providers, medical support providers, photographers, catering providers, parking operators and other event partners.
15.2 Where third party services are provided, those services may be subject to separate terms and conditions, and participants are responsible for reviewing and understanding any applicable terms where relevant.
15.3 i-Compete Events is not responsible for the acts, omissions, services or failures of third party providers where those matters are outside the reasonable control of i-Compete Events.
15.4 Nothing in this clause excludes or limits any liability that cannot lawfully be excluded or limited under applicable law.
15.5 Any concerns relating to third party services should be raised with the relevant provider where appropriate. i-Compete Events will use reasonable efforts to assist participants in resolving issues where it is able to do so.
16. Postponement, Force Majeure and Exceptional Circumstances
16.1 Whilst every effort will be made to ensure that the Event takes place on the advertised date, the Event Organiser reserves the right to postpone or amend the Event where circumstances beyond its reasonable control make it unsafe, impracticable or impossible to proceed.
16.2 Such circumstances ("Force Majeure Events") include, but are not limited to, severe or adverse weather (including Met Office Amber or Red Weather Warnings where participant safety may be affected), flooding, storms, snow, ice, extreme heat, fire, pandemic or epidemic, acts of terrorism, civil unrest, war, industrial action, government restrictions or guidance, emergency service advice, road closures, venue restrictions, landowner requirements, utility failures, or any other event outside the reasonable control of the Event Organiser.
16.3 Where a Force Majeure Event occurs, the Event Organiser will use all reasonable endeavours to rearrange the Event at the earliest practicable opportunity. All entries shall automatically transfer to the rearranged Event without additional charge.
16.4 Entrants acknowledge that a significant proportion of the Event costs are incurred well in advance of race day, including but not limited to venue hire, permits, medals, race numbers, medical provision, traffic management, timing services, staffing, insurance, administration and other operational expenses. For this reason, entry fees cannot ordinarily be refunded where an Event is postponed due to a Force Majeure Event.
16.5 If an entrant is unable or unwilling to participate in the rearranged Event, no refund or partial refund shall ordinarily be payable. However, the Event Organiser may, at its absolute discretion, consider alternative arrangements, including (but not limited to) entry transfers, event credits, virtual participation or, in exceptional circumstances, a refund.
16.6 Any alternative remedy or goodwill gesture offered by the Event Organiser shall be entirely discretionary, determined on a case-by-case basis and shall not create any precedent, entitlement or expectation for any other entrant or future Event.
16.7 The Event Organiser shall not be liable for any additional losses or expenses arising from the postponement or rearrangement of an Event, including but not limited to accommodation, travel, subsistence, loss of earnings or any other indirect or consequential loss. Entrants are encouraged to obtain suitable travel and accommodation arrangements that provide appropriate cancellation or amendment protection where required.
16.8 Nothing within this clause affects any statutory rights that participants may have under applicable consumer legislation.
17. Event Cancellation by i-Compete Events
17.1 If i-Compete Events cancels an Event and the Event is not rearranged or rescheduled, participants will be entitled to a refund of the entry fee paid, less a reasonable deduction to reflect costs already incurred in relation to the planning and administration of the Event.
17.2 Such costs may include, but are not limited to:
administration and registration processing;
payment processing fees;
event planning costs;
permits and approvals;
supplier commitments;
race materials and participant communications.
17.3 Any refund due under this clause will be processed using the original payment method where reasonably practicable.
17.4 Nothing in this clause affects any statutory rights that participants may have under applicable consumer legislation.
18. Event Adaptations and Changes to Format
18.1 Participants acknowledge that outdoor sporting events may be affected by circumstances that require changes to the planned Event arrangements, including but not limited to weather conditions, safety concerns, course availability, venue restrictions, water conditions, instructions from authorities or other operational requirements.
18.2 Where reasonably necessary, i-Compete Events reserves the right to amend the Event format, course, route, distance, programme or facilities in order to allow the Event to proceed safely.
18.3 Examples of such adaptations may include, but are not limited to:
changing or shortening a course route;
relocating an Event activity;
altering start times;
modifying a race format;
replacing a swimming element with an alternative discipline where water conditions make swimming unsafe.
18.4 Where an Event proceeds in an adapted format, the Event shall continue to be regarded as the Event entered by the participant, and entry fees shall remain payable.
18.5 Participants who choose not to take part in an adapted Event will not ordinarily be entitled to a refund or credit.
18.6 i-Compete Events will use reasonable efforts to communicate any significant adaptations to participants as soon as reasonably practicable.
19. Photography, Video and Event Media
19.1 Participants acknowledge that photography, video recording and other forms of media capture may take place during Events organised by i-Compete Events.
19.2 By entering an Event, participants understand that they may appear in photographs, video footage, live streams, race coverage, results content and other Event-related media.
19.3 i-Compete Events may use Event-related images, videos and recordings for purposes connected with the promotion, reporting and operation of its Events, including marketing, social media, websites, promotional materials and future Event communications.
19.4 i-Compete Events may permit venues, event partners, sponsors, photographers and other appointed service providers to use Event-related media for purposes connected with the Event, subject to applicable data protection and privacy obligations.
19.5 i-Compete Events will not knowingly use images or recordings in a misleading, defamatory or inappropriate manner.
19.6 Participants who have specific concerns regarding the use of their image should contact i-Compete Events, and reasonable requests will be considered where practicable.
20. Data Protection and Personal Information
20.1 i-Compete Events collects and processes participant information for purposes connected with the organisation, administration and delivery of Events, including registration, participant communication, race management, results processing, safety procedures and event reporting.
20.2 By registering for an Event, participants acknowledge that their personal information will be processed by i-Compete Events in accordance with applicable data protection legislation and the i-Compete Events Privacy Policy.
20.3 The information collected may include, where relevant, participant contact details, emergency information, race category, results information, photographs, videos and other information necessary for the safe and effective delivery of the Event.
20.4 i-Compete Events will handle participant information responsibly and in accordance with the rights and obligations set out under applicable data protection legislation.
20.5 Participants should read the i-Compete Events Privacy Policy, which explains:
what information is collected;
why information is collected;
how information is used;
how long information is retained;
who information may be shared with; and
participant rights in relation to their personal information
21. Event Results and Publication of Participant Information
21.1 Participants acknowledge that i-Compete Events may publish Event results as part of the administration, reporting and promotion of the Event.
21.2 Published results may include information such as:
participant name;
race category;
finishing time;
position or ranking;
club/team information where provided;
age category or other relevant race classification.
21.3 Results may be published on i-Compete Events’ website, timing platforms, partner platforms or other official Event-related channels.
21.4 i-Compete Events will retain and publish results for a reasonable period in accordance with its legitimate interests in maintaining historical race records, verifying achievements and providing ongoing access to Event results.
21.5 Participants who have concerns regarding the publication of their information should contact i-Compete Events. Requests relating to personal data will be considered in accordance with applicable data protection legislation and the i-Compete Events Privacy Policy.
21.6 Photographs and video recordings are dealt with separately under Clause 19 of these Terms and Conditions.
22. Governing Law and Jurisdiction
22.1 These Terms and Conditions, and any dispute or claim arising out of or in connection with an Event, shall be governed by and interpreted in accordance with the laws of England and Wales.
22.2 The courts of England and Wales shall have jurisdiction to deal with any dispute arising from these Terms and Conditions or participation in an i-Compete Event.
22.3 Nothing in these Terms and Conditions affects any statutory rights that participants may have as consumers under applicable law.
